Administrative Assistant to CEO

The incumbent will be working closely with the CEO, managing his day to day activities. 

Responsibilities include but are not limited to:  

  • Perform administrative and CEO's office support activities: screening of incoming calls, attending & directing visitors, handling queries, filing, word processing, creating spreadsheets, presentations and record keeping 
  • Supports the work of a CEO by performing duties as specifically requested such as copying data, compiling information, tabulating, recording and  handling stationary 
  • Manage the CEO’s calendar and ensuring it is constantly updated 
  • Arrange & organise meetings, teleconference, videoconference & appointments 
  • Deal with visitors and queries with courtesy, tact and efficiency 
  • Planning, facilitating and co-ordinating events like board meetings, internal meetings and luncheons
  • To research and collate information from the web, reports, documents and correspondence 
  • Ensure travel arrangements and its related requirements like tickets, passport/visa, transportation and hotel arrangements 
  • Handles confidential material and information with high discretion and professionalism 
  • May perform repetitive business procedures according to specific instructions
  • To ensure the effective management and update of all relevant databases

Desired Candidate Profile: 

  • Graduate with 2-3 years of experience in a similar role, Post graduation will be preferred 
  • Must be technological bend of mind and is adaptive to the use of latest technology  
  • Motivated self-starter with high ability to multi-task and manage multiple tasks/ projects 
  • Should have good sense of time management, planning & organizing  
  • Should be able to work independently and deliver high quality results  
  • Proactive, highly organized and extremely detail oriented 
  • Experience in interfacing / co-ordinating / dealing with seniors and management team 
  • Stellar written, verbal communication and interpersonal skills  
  • Proficient in MS Office and Social Media Networking  
  • Extensive software skills are required, as well as Internet research abilities and strong communication skills
